Reliable, compliant data retention without ongoing system costs
When companies decide to implement new IT environments, legacy systems often remain in the background – as legal liabilities, costly to operate, and technically outdated. Radio Frequency Systems faced exactly this challenge. The key question was how they could retain their legacy SAP data without having to continue running their old ERP system.
The answer was to use the dedicated archiving solution DCS Retire, into which all relevant data would be migrated while fully complying with legal and regulatory requirements.
From analysis to handover
The system decommissioning project began with a comprehensive data analysis that formed the foundation for the subsequent project planning. Based on this analysis, the project team deliberately chose a holistic approach to data extraction: all tables from the SAP source system would be extracted, except for system tables and tables containing only temporary data. This decision ensured complete and future-proof data availability.
The data extraction was carried out using the migration tool DCS Migrate. Tables from the SAP system were first exported as SQL files and transferred to an SFTP server. The data was then loaded from the SFTP server into the DCS Retire system. Special attention was paid to data integrity throughout both the extraction and loading processes. To ensure that the transferred data arrived in DCS Retire in exactly the same form, hash values were generated and compared.
Another distinctive element of the project was the development and provision of custom query views by Natuvion. These views were designed to provide business departments and auditors with direct and intuitive access to relevant data from the outset. After the data transfer, RFS conducted extensive testing, based on which Natuvion finalized the customized views and handed over the DCS Retire system.
Data successfully archived in DCS Retire
In total, more than 8,000 tables and 600 GB of data were successfully migrated and archived during the project. RFS can now decommission its legacy SAP system while still fulfilling all legal obligations.
In addition to the data migration, the team implemented comprehensive authorization management, creating a flexible access control system. Documents from the optical archive were also transferred, including their links to the corresponding business documents. This enables users, for example, to view invoices directly within DCS Retire.
