From data extraction and archiving to automated deletion
Transformation projects rarely end with the migration of all required data to a new platform. Legacy systems often continue to contain large volumes of historical data that cannot simply be deleted due to legal retention requirements, potential operational or tax audits, and data privacy regulations. Following the migration to powercloud, schweizstrom faced the same challenge regarding the handling of its legacy data.
The company required a solution that would enable cost-efficient access to historical data for internal employees and auditors, while simultaneously ensuring GDPR compliance and establishing clear rules for the future and final deletion of the data.
Data archiving with DCS Retire
schweizstrom selected DCS Retire as its archiving and legacy system decommissioning solution. As part of a holistic legacy data management approach, Natuvion managed the entire process — from data extraction from the previous system and secure archiving to the subsequent rule-based deletion of data.
Initially, DCS Retire was configured in accordance with both legal requirements and schweizstrom’s individual business needs. This included the definition of access policies and the consideration of specific user requirements. One particular complexity was that, in addition to schweizstrom, BayWa r.e. Green Products GmbH also required access to certain historical datasets. This was necessary because schweizstrom had previously acquired part of BayWa’s customer base, while responsibility for the historical customer relationships remained with BayWa.
Furthermore, a GDPR-compliant deletion date was defined for each individual dataset. After completion of the configuration phase, the data was extracted from the legacy system in collaboration with the previous platform provider and subsequently transferred to DCS Retire. This established the foundation for the complete shutdown of the former SaaS platform.
100,000 records successfully archived in DCS Retire
Through the implementation of DCS Retire, approximately 100,000 historical customer records were archived in an audit-proof manner. The data is now stored in full compliance with GDPR requirements, accessible only to authorized users, and governed by clearly defined retention and deletion policies. At the same time, continued access to relevant information for internal employees and auditing purposes has been ensured.
With the successful archiving of the legacy data, schweizstrom was able to fully decommission its previous production system and terminate the contract with the former platform provider. This eliminated the costly parallel operation of two systems. The project therefore marked the final step in schweizstrom’s transformation to powercloud and enabled a sustainable reduction in both operational and system costs.
